Detailed Information
To get to the Calibration Sessions page, go to one of the following menus:
-
Primary Navigation Menu > Succession > Calibration > Calibration Sessions.
-
Primary Navigation Menu > Performance > Calibration > Calibration Sessions.
The results of a calibration session can be published, making the data available to other places in PeopleFluent Talent Management. The "Publish Results" button at the bottom of the Calibration Matrix allows you to publish the results to the following locations:
- Talent Profile
- Evaluation
- Calibration SmartGrids
- Talent Profile
If you are calibrating any of the fields in the Talent Assessment section of the Talent Profile's Talent Assessment page, click "Publish Results" and then select "To Talent Profile" to publish the results of the calibration session to the appropriate fields. Each employee included in the calibration session will have their Talent Profile updated with the values given to them for each of the X- and Y-axis columns (such as Performance and Potential). This is typically done after the calibration session is complete and the calibration matrix is in its final form. Publishing calibration session results to the Talent Profile also automatically publishes them to the calibration SmartGrids.
Caution: After publishing to the Talent Profile, the data in the calibration session cannot be modified. Publishing calibration results to the Talent Profile cannot be reversed, so be sure that you are finished with the calibration session before publishing.
- Evaluation
If your template has been configured with this option enabled, calibration results can be published to a Performance evaluation so that the employees can be evaluated based, in part, on the calibration session results.
When you click "Publish Results" at the bottom of the calibration matrix and select "To Evaluation", the session results are published to one or more performance evaluations. This option is only available if the template has been configured to allow it and when either the X- or Y-axis is something that can be assessed during an evaluation process, such as a talent assessment field or performance rating.
There is a log for publishing calibration data to evaluations that displays the history of calibration data publication to evaluations only (there are no logs for publication to SmartGrids or Talent Profile). This log also contains any errors that may have been encountered during the publication process. The log can be accessed from the Calibration Sessions page by clicking "Publish Results" and then selecting "View Evaluation Publication Log".
When ratings are published from performance evaluations, the system records what process those ratings were assessed in. If those ratings are then calibrated and you publish the results to the evaluation, the system writes the calibrated ratings back to the process they came from. Calibrated ratings can also be published to an evaluation even when they did not originate from one. In this case, you are prompted for the evaluation process or processes you want the calibrated ratings written back to.
If there are employees in the calibration session who were not included in the evaluation, the system looks for matches in each selected evaluation and when an employee in the calibration session is found in the evaluation, that employee's ratings will be updated. If a match is not found, a warning is written to the log. Employees in the calibration session who are not participating in any of the selected evaluations will not be automatically initiated into the process.
Calibrated ratings are always stored separately from the original ratings collected in the process. This allows the pre- and post-calibration ratings to be compared as needed.
- Calibration Smart Grids
At any time after you start a calibration session, you can publish the session data to the Calibration Rankings and Calibration Summary SmartGrids for reporting purposes.
To publish session results to the calibration SmartGrids, click "Publish Results"at the bottom of the calibration matrix and select "To Calibration SmartGrids". This is typically done when the calibration session is complete, but you can do this at any time during the calibration session. After publishing the session results to calibration SmartGrids, the menu option disappears, and from that point forward, the calibration data will be updated automatically every time the session is saved.
By default, publishing to Calibration SmartGrids is also necessary if the session is to be imported into another calibration session. However, the application can be configured to allow importation of unpublished sessions:
These options are configured on the Calibration Sessions page. You can navigate to this page in the following ways:
-
Primary Navigation Menu > Performance (Succession) >Calibration > Calibration Sessions
To allow importation of calibration sessions from unpublished sessions, do the following:
- Click Actions > Modify Session Details
- Click the Edit in Place icon next to the "Allow Import of Population from Unpublished Sessions" option, and select "Set Visibility"
- The default accessibility is "Not Visible" for this option. Keep this if you want to set the Role Visibility Override for the roles you want to have access to this option, or change it to Read/Write to give all users access.
- Click Save.
Calibration session data is automatically published to the Calibration SmartGrids when it is published to the Talent Profile. This ensures any data published to the Talent Profile (often representing specific review milestones or finalized ratings) is always in sync with that which is reportable on the SmartGrids.
Caution: Publishing calibration data to Calibration SmartGrids cannot be undone. The only way to remove the calibration data from the Calibration SmartGrids is to delete the Calibration session.
