Exemption Policies

Summary:

Automatic Exemption allows you to automatically exempt learners from courses based on exam results.

 

In order to utilise Exemption Policies we need to first set up an exam with questions.

We then need to add that exam to a course (in this example MathsExamCourse1)

And we also need to create another course which the user will be exempt from after completing MathsExamCourse1 (in this example the course is ExemptCourse)

 

Exemption Policies are driven by the Question pools and the Exam pools. So also set up an Exam and Question pool and assign the questions & exam accordingly.

 

So set up so far is:

At his stage we need to map the Question Pool to the Course which is to be exempted

Navigate to the Question Pool and select ‘Update’:

Then populate the Automatic Exemptions with the course(s) which are to be exempted.

We then set up the Exemption Policy

 

To set up the exemption policy go to:

Manage Center > Learning > Exam and Question Manager > Automatic Exemption Policies

 

Create the new policy, add the course to be exempted (Note: course(s) need to be visible in catalog editor).

Also enable and set the requirements:

Once the exemption policy is created, this can be mapped to the Exam Pool:

Navigate to the exam pool and select ‘Update’ and populate the Auto-Exemption Policy:

So now all the setup is complete.

 

If we enrol a user to the course MathsExamCourse1 and complete the exam (ensuring we meet the exemption requirements), this immediately auto enrols our user on ExemptCourse and updates the status to ‘Waiver/Exempt’

Exemption Policies and Programmes.

 

For this particular use case the client wanted a programme to be ‘Completed’ after the submodules were exempted.

 

Create programme and sub modules to be exempted

Prog = ProgExempt1

Submodules = OnlineExempt1, OnlineExempt2, OnlineExempt3, OnlineExempt4

 

 

Case Study 1

Added Submodules to the auto exemption policy: OnlineExempt1, OnlineExempt2, OnlineExempt3, OnlineExempt4

 

Also added auto exemptions to the Question Pool for OnlineExempt1, OnlineExempt2, OnlineExempt3, OnlineExempt4

 

Went into Default exam pool and linked the exemption policy

 

Enrolled user onto MathsExamCourse1 and completed exam

 

This auto enrolled my user onto OnlineExempt1, OnlineExempt2, OnlineExempt3, OnlineExempt4 and set the status to 'Waiver/Exempt'

However, the user was not auto enrolled onto the Programme so this did not meet the client requirements.

 

 

 

 

Case Study 2

Edited exemption policy by removing OnlineExempt1, OnlineExempt2, OnlineExempt3, OnlineExempt4 and adding ProgExempt1

Made the same change to the Question Pool

 

Enrolled user onto MathsExamCourse1 and completed exam

 

This auto enrolled and exempted ProgExempt1 but the sub modules are all flagged as Deactivated​

 

As the client wants the Programme to be ‘Completed’ and submodules to also show as ‘Waiver/Exempt’, this did not meet the client requirements

 

 

Case Study 3

Edited auto exemption policy by removing ProgExempt1 and added OnlineExempt1, OnlineExempt2, OnlineExempt3, OnlineExempt4 back in

 

Went into Question Pool and added auto exemptions for OnlineExempt1, OnlineExempt2, OnlineExempt3, OnlineExempt4

 

(this is the same setup as case study 1)

 

Auto enrol is enabled so that the user is auto enrolled on ProgExempt1 when they complete MathsExamCourse1

Also, ‘Define Enrolment Policy’ on ProgExempt1 is changed to ‘Does not require the learner to retake the learning‘

 

Enrolled user onto MathsExamCourse1 and completed the exam

 

This auto enrolled my user onto OnlineExempt1, OnlineExempt2, OnlineExempt3, OnlineExempt4 and set the status to 'Waiver/Exempt'

 

When the auto enrol is triggered my user is automatically enrolled on ProgExempt1.

My user has already been exempted from the submodules and because the programme is set up so the learner does not have to retake the learning.

So the Programme submodules share credit with the exempted modules and inherit their status ‘Waiver/Exempt’.

This in turn sets the Programme to Completed.

 

This results in 2 sets of enrolments for OnlineExempt1, OnlineExempt2, OnlineExempt3, and OnlineExempt4. Individual enrolments and as part of the Programme.

 

However, the client was happy with this as the requirements were still met.

Programme is completed and submodules show as exempt
