Summary:
Data extraction from the Talent Management system can be performed by the Administrator with proper permissions. Data can be extracted either from a variety of Smart Grids, or default report subjects available under Reports section.
For any other data that cannot be downloaded from the application, contact PeopleFluent account manager to determine if such service can be provided for a fee.
This document assumes that the administrator already has a working knowledge of creating reports. For more information on report creation please follow the steps outlined in this document.
This document also provides a list of all the report subjects available in Talent Management.
Detailed Summary:
Extracting data from PeopleFluent Talent Management
- Extracting data from Smart Grids
a. Select a smart grid view
b. Add the filters and select desired columns to be extracted
c. Export the data from the Reports menu. CSV format is recommended.
- Extracting Data using Reports
a. Navigate to the Reports Menu and Select "Create New Report"
b. Select the desired report subject
c. Select necessary columns. Use appropriate filters. Filters are recommended if the report data is expected to be significantly large.
d. Add Group, Counts and Display columns if necessary
e. Add Headers and Footers if necessary
f. Save the report with a name and description.
g. Once report is saved it is available to be run under "Ad Hoc Reports" menu.
h. Export report data in CSV format (recommended)
i. Select “Report on All Rows of Data” check box and then click on “Run Report” button
j. Click on "Run Offline" button on the pop-up
k. Once the report completes processing, an email will be sent to user’s business email address
Notes:
1. Available report subjects and data elements may vary depending on system configuration.
2. Always extract the data using an administrator role so that all records are included in the output.
3. Make sure the user executing the report has access to view the terminated employees. If data for
terminated employees is not included, please contact PeopleFluent Support for assistance.
4. Data elements or columns that are made “Not visible” to ALL of the user roles, may not be available in the extract.
5. Since some of the offline reports maybe too large to be sent via email, we recommend using the
downloadable offline reports feature. Using this feature offline reports can be downloaded via a link. To
enable this setting - Go to Site Administration > Data Setup > System Settings and set the "Downloadable Offline Reports Enabled" system setting to "true". If you do not have access to this setting, please contact PeopleFluent Support for assistance.
