24.11 PeopleFluent Talent Management Release Notes
PeopleFluent is pleased to announce the upcoming PeopleFluent Talent Management 24.11 update. This document describes the functionality of these new features, discusses their client impact, and provides detailed information about each. If you have any questions about the enhancements or the new features presented in this document, please contact your PeopleFluent representative.
Compensation Features
The features and enhancements described in this section apply to PeopleFluent Compensation. Because this application is configurable per client, new features may affect each implementation differently. For more information about any new feature, and how it can be used in specific implementations, contact a PeopleFluent representative.
These features will be available when the client is upgraded to this version of PeopleFluent Compensation.
Submit from Total Organization View
Functionality
This enhancement allows managers to submit their worksheets directly from the Total Organization view.
Details
In the 24.11 update, Compensation administrators can configure the application to allow managers to submit their worksheets from the Total Organization worksheet view in focal reward cycles, so they don't have to navigate back to their hierarchy view to submit the worksheet.
Configuration is done on the reward cycle Options page in the Worksheet Options section. There is a new option there called Allow Worksheet Submission from Total Org View.
If this option is selected, the Submit button will be added to the Total Organization worksheet view in the upper right corner so that managers can submit their worksheets without having to navigate back to the My Worksheet view.
This option will be disabled by default for upgrading customers and enabled by default for new installations.
Matrix Manager Worksheet UI Configuration
Functionality
This enhancement gives administrators the ability to configure the matrix manager worksheet more easily.
Details
In past updates, Compensation administrators had to log in as someone who can access matrix manager views and use Edit in Place in order to configure the matrix manager worksheet view or save new views.
In the 24.11 update, there is a new configuration tab on the left that allows administrators to directly configure matrix manager worksheet views for focal reward cycles.
The Matrix Manager UI Configuration page is similar to the standard Worksheet UI Configuration page, but without the Summary section. Administrators can configure the matrix manager worksheet by adding and removing columns, and saving views. Filtering and sorting of columns are supported, just as on the normal Worksheet UI Configuration page.
-
Note: Matrix Managers do not have the ability to create reports on the Matrix Manager worksheet. Matrix managers can only export the worksheet to Excel, CSV, or XML formats.
Pseudomodel Scripting Addition
Functionality
This enhancement adds the calibrated overall rating to the Talent Management Pseudomodel.
Details
In this update, calibratedOverallRating has been added to the Pseudomodel PerformanceRatingContainer so it can be used in Compensation plan formulas and data maps.
The new value can be found by opening the pseudomodel and going to SalaryPlanParticipant > PerformanceEvaluation > PerformancePeriodEvaluation and click PerformanceRatingContainer for managerEvaluation.
For example, a salary plan can use the following formula to reference the calibrated overall rating:
return performanceEvaluation?.finalEvaluation?.managerEvaluation?.calibratedOverall?.rating?.displayName;
Clients with Compensation and Performance can therefore create a "Pay for Performance" culture by using the overall calibrated rating in Compensation plans.
Icon for Worksheet Email Statements
Functionality
As part of the PeopleFluent Talent Management user interface (UI) refresh, the email icon on worksheets has been updated.
Details
On worksheets with the Email Statements column displayed, the icons in the dialog box after clicking the worksheet icon have been changed from a PDF icon to an email icon to better reflect the functionality.
Performance Features
The features and enhancements described in this section apply to PeopleFluent Performance. Because these applications are configurable per client, new features may affect each implementation differently. For more information about any new feature, and how it can be used in specific implementations, contact a PeopleFluent representative.
These features will be available when the client is upgraded to this version of PeopleFluent Performance.
Anytime Feedback Enhancements
Functionality
These enhancements provide improved functionality for the Anytime Feedback feature.
Details
The following enhancements have been added:
Custom Field Support for Provide Feedback Page
Custom fields have previously been supported on the Give Feedback page, but not on the Provide Feedback page that appears when someone requests feedback for an employee from another user.
In this update, the Provide Feedback page has been modified to support feedback custom fields. Administrators can configure this by first creating custom fields for the Feedback entity, and then navigating to Menu > Site Administration > Design Pages > Respond to Feedback Request. There you can now insert custom fields according to your business needs.
Hide Performance Plan
A new option on the Performance Plan Basics page allows administrators to hide specific Performance plans when users are giving or requesting feedback and selecting goals and competencies to align their feedback.
The new plan option is called Hide Plan When Aligning Feedback and can be set to Yes or No.
Setting this to Yes hides that plan from the selection drop-down list when users choose goals or competencies to align to:
Hide Competency Sources
A new Display system setting has been added to allow administrators to hide one or more competency sources when a user requests feedback.
The new Feedback Competency Sources system setting determines the competency sources that can be selected when requesting or giving feedback: Core, Job, or All.
You can select any or all of these to display for users when giving or requesting feedback. By default, all three are selected.
Category Field
The Category field, which has been available on the Give Feedback page, has now been added to the Request Feedback page as well.
This allows requesters to select the feedback category for the feedback that they are requesting.
Succession Features
The features and enhancements described in this section apply to PeopleFluent Succession Management. Because these applications are configurable per client, new features may affect each implementation differently. For more information about any new feature, and how it can be used in specific implementations, contact a PeopleFluent representative.
These features will be available when the client is upgraded to this version of PeopleFluent Succession Management.
Calibration User Interface Refresh
Functionality
These user interface (UI) refresh enhancements focus on the calibration session UI.
Details
The calibration session UI has been updated in the following ways:
Refreshed Session UI
The cells of the calibration matrix are larger now, and fonts for the X- and Y-axis labels are larger and easier to read, with the Y-axis labels rendered vertically rather than horizontally, making more room for the cells:
However, in the print view, the Y-axis labels remain rendered horizontally for clarity.
Also notice that the color assigned to each cell is now only applied to the top border, not the entire cell.
Check boxes across the top of a calibration session have been changed to toggles:
The check boxes to enable each option in the Display Options section are also now toggles:
In the Filter section, the buttons have been restyled and now read Clear and Apply instead of Clear Filter and Apply Filter:
The Bulk Actions icon has been updated:
Employee Mini-Profile
When clicking an employee's name in a calibration session, The mini-profile, which used to appear in the main dialog box, has been moved into an icon next to the employee name.
Also, the Calibration Session History, which also used to appear in the main dialog box, has been moved into the More Actions button at the bottom of the dialog box.
Potential and Ad Hoc Rating Fields
When clicking an individual employee in a calibration session or comparing employees in a session, the Potential and all three Ad Hoc Rating fields are now displayed as progress bars.
The color of the Potential progress bar is configured in the display value category, while the rating fields progress bar colors are not configurable.
Box Name in Grid View
The Box Name column has been added to the calibration session grid view.
Calibration: Compare Employees
Functionality
This feature allows users to easily compare employees in a calibration session in a side-by-side format.
Details
Calibration sessions now have a Compare button that lets users easily compare employees in the session in a side-by-side index card format.
Employees in a calibration session now have selection check boxes; you can select up to four employees and then click the new Compare button to compare them. You can compare any employees in the session, regardless of which matrix box they are currently in.
The fields shown in the Comparison dialog box are the same key attribute columns that are configured to appear when hovering over the employee in the calibration session, plus Comments and the new Jobs Pooled For, Positions Pooled For, and Positions Slated For fields, which can be configured using design mode. If certain key attribute fields have been made editable, they will be editable in the compare dialog box as well.
When comparing employees, you can also add comments to the employees, and take bulk actions on them by selecting one or more of the employee check boxes in the upper left corner of the employee photo and then clicking the More Actions button. The bulk actions you can take here are the same as when you click the Bulk Actions icon in a calibration box. Also, the employee's mini-profile is available in the compare dialog box, next to each person's name.
-
Note: As part of this feature, the calibration session history that previously appeared when clicking an individual employee in a session has been moved into the More Actions list.
Calibration Slated and Pooled For Fields
Functionality
This enhancement allows administrators to configure search fields for employees that will find and display positions for which the employee is on a succession slate, and jobs and positions for which the employee is in a succession pool.
Details
Administrators can now configure search-as-you-type fields for employees in a calibration session that will find and display:
- Positions for which the employee is slated for (Succession Slates)
- Positions for which the employee is pooled for (Talent Pools)
- Jobs for which the employee is pooled for (Job Pools)
These new fields are configured to be Not Visible out of the box, and can be made visible using design mode; if configured to be visible, they will appear when clicking a single employee in the session and when comparing employees.
Once you type at least 3 letters in the search box, results will appear, and as you type it will narrow down the results to match what you type. Selected positions and jobs appear below the search field in the color configured in the Successor's Readiness Succession display value category.
Position and job records have a new field added on the Details tab under Succession Details: Show in Calibration. This needs to be selected for the position or job to appear for an employee in a calibration session search, and you also need to select Allow Succession Slating (for a position) or Allow Job Pooling (for a job). These fields can also be configured via API; For more information, contact your PeopleFluent representative.
Common Features
The features and enhancements described in this section apply to all PeopleFluent Talent Management applications. Because the applications are configurable per client, new features may affect each implementation differently. For more information about any new feature, and how it can be used in specific implementations, contact a PeopleFluent representative.
These features will be available when the client is upgraded to this version of PeopleFluent Talent Management.
User Interface Refresh
Functionality
These enhancements continue the updates to many aspects of the PeopleFluent Talent Management user interface (UI).
Details
In the 24.11 update of PeopleFluent Talent Management, the ongoing UI refresh includes the following areas:
Updated Dialog Boxes
Several of the application modal dialog boxes have been updated and styled according to the new UI design.
Old style warning:
New style warning:
Similarly, information and error dialog boxes are now updated like this:
Organization Data Menu Moved
The Organization Data menu, where you can create organizations, jobs, positions, salary grades, market data, employees, and locations, has been moved from Menu > Reporting to Menu > Admin.
This menu is separate from the Organization Data SmartGrids, which can be found in Menu > Reporting > Grid Reporting.
-
Note: With this change, some roles (for example, manager) may no longer have access to Organization Data, since not all roles have access to the Admin menu by default. Customers should review their role permissions and visibility settings to ensure the right roles have access to the Organization Data menu.
Reporting Page
The Analytics Dashboard and the Ad Hoc Reports pages now appear on the Reporting page along with Decision Views and My Analytics.
The way you navigate to these pages hasn't changed; for example, you still open the Ad Hoc Reports page by going to Menu > Reporting > Ad Hoc Reports. The Ad Hoc Reports page simply opens under the Reporting page as a horizontal tab. Similarly, when you click the Analytics Dashboard button on a Compensation worksheet, it will open the Reporting page to the Analytics Dashboard tab.
Bookmarked Grids Enhancements
Functionality
In this enhancement, the Bookmarked Grids menu has been moved and renamed, and users now have the ability to bookmark views as well as grids.
Details
The following enhancements have been made:
Bookmarked SmartGrid Views
Previously, only SmartGrids could be bookmarked, not individual SmartGrid views, and when you clicked a bookmarked SmartGrid, you would then select which view you wanted to see. With this update, you can now bookmark SmartGrid views as well, so the view will open directly from the Bookmarked Reporting Grids menu. You can still bookmark entire SmartGrids as well.
-
Note: If a SmartGrid is bookmarked, you will not be able to bookmark individual views of that SmartGrid. You must first clear the bookmark of the SmartGrid before bookmarking any views.
Also, there are many grid views with the same name, for example, the Benefit History SmartGrid has a view named By Employee, and the Bonus History SmartGrid has a view with the same name (there are many views named By Employee). Bookmarked views appear in the Bookmarked Reporting Grids menu by the view name only, so there may be several in the list with the same name, which could be confusing. In this case you can rename your views to include the source SmartGrid (for example, "Bonus History by Employee" rather than "By Employee").
Bookmarked Grids Menu Moved
Previously, when two or more SmartGrids were bookmarked, they appeared grouped in a Bookmarked Grids menu under Menu > Reporting. In the 24.11 update, that menu has been moved to the main menu for easier access and renamed Bookmarked Reporting Grids.
If only one grid is bookmarked, that grid will appear directly in the main menu.
-
Note: Talent Management Recruiting and Onboarding SmartGrids will not appear in the Bookmarked Reporting Grids menu when bookmarked. Instead, Talent Management Recruiting bookmarked grids will appear under Menu > Recruiting, while Onboarding bookmarked grids will appear under Menu > Onboarding. However, views based on these SmartGrids will be bookmarked in the main menu along with other bookmarked grids and views.
Lookup Table Import
Functionality
This enhancement gives administrators the ability to import lookup table data directly from the Lookup Tables page.
Details
Administrators have been able to upload lookup table data using data processing scripts as a way to get complex lookup data into the application. In this update, administrators can now upload a spreadsheet right from the Lookup Table page, which simplifies the process and makes it accessible for administrators who are not familiar with scripting.
The new Import button allows you to import a CSV file to create or update a lookup table. The CSV file needs to include the Vertical Match Value column, Column Values column, and the optional Horizontal Match Value column if your lookup matches on both the vertical and horizontal axes. When using a return type of Number List or Percent List, the data in the Column Values column should be a bracketed comma-separated list (for example, [0.1, 0.2, 0.3]).
You can export the current data in the Export Lookup Data section, which will download a CSV file with the necessary formatting requirements. You can then modify the CSV file and import it to update the lookup table. Existing rows will be updated, new rows will be inserted.
The upload will happen as a background process and can be tracked in the process log. However, in Performance plans, the upload will be tracked in the System Logs page (Site Administration > Logs > System Logs).
The new Import button is available in the following places:
Global Goal Repository
To get here, go to Menu > Administration Home > Goal Management > Global Goal Repository > Goal Repository, edit a goal and click the Measurements tab. Under Incentive Payout Calculations, select Advanced Calculations and then click the Lookup Tables tab on the left. Add or edit a lookup table, and under the Lookup Table Data section you will see the Import button.
Performance Management Plans
To get here, go to Menu > Administration Home > Performance Administration > Performance Management > Performance Management Plans, edit a plan, and click the Lookup Tables tab under Advanced calculations in the left menu. Add or edit a lookup table, and under the Lookup Table Data section you will see the Import button.
Compensation Plans
To get here, go to Menu > Administration Home > Compensation Administration, select Bonus, Salary, or Stock Planning, and select Bonus Plan Setup, Salary Plan Setup, or Stock Plan setup. Edit a plan and click the Lookup Tables tab in the left menu. Add or edit a lookup table, and under the Lookup Table Data section you will see the Import button.
Compensation Reward Cycles
To get here, go to Menu > Administration Home > Compensation Administration, select Bonus, Salary, Stock, or Total Compensation Planning, and select Reward Cycle Configurations. Select a reward cycle and click the Lookup Tables tab in the left menu. Add or edit a lookup table, and under the Lookup Table Data section you will see the Import button.
Notification Support for Slack and Microsoft Teams
Functionality
This feature allows administrators to configure Performance, Succession, and Compensation users to receive notifications in Slack and Microsoft Teams.
Details
In this update, administrators can configure the application to notify users in Slack and Microsoft Teams when they get an email notification from PeopleFluent Performance, Succession, and Compensation.
When setting up this feature, you will configure a new group of Talent Management system settings, and enable Slack and Microsoft Teams integration on the User record. The configuration can be done in the UI for individual users or via API if you have a group of users to enable.
The new system settings for Microsoft Teams integration are:
- Microsoft Teams Bot Secret
- Microsoft Teams Bot URL
- Microsoft Teams Client Id
- Microsoft Teams Enabled
- Microsoft Teams Object Id
- Microsoft Teams Tenant Id
The new system settings for Slack integration are:
- Slack Client Id
- Slack Client Secret
- Slack Enabled
- Slack OAuth Bot Token
The Slack and Teams sections on the user record are Not Visible out of the box and can be made visible using Design Mode.
Complete configuration instructions are available on the Administrative Documents page (Menu > Administration Home > Site Configuration > Data Tools > Administrative Documents).
-
Note: The Microsoft Teams Enabled and Slack Enabled system settings must be set to True for the respective documentation to be visible on the Administrative Documents page.
The Slack and Teams notification will include a link to log into Talent Management, where the user can follow up on the notification they received.
Forgot Password Behavior Change
Functionality
This enhancement changes the behavior of the forgot password link on the Talent Management login page.
Details
In order to ensure the security of the Talent Management application, we have changed what happens when a user forgets their password.
-
Note: If a customer is using PeopleFluent iPaaS or another SSO application, this does not apply to them, as those users will log in using the SSO password.
In the past, when a user clicked the Forgot your password? link on the Talent Management log in page, they were asked to enter their email address as configured in the application, and then asked their password recovery question that had been previously set up.
Starting with this update, we are no longer using the password recovery question and answer. Now when a user clicks Forgot your password?, they are asked to enter an email address, just as before, but it will simply say that the reset password email has been sent. It will not let the user know if an incorrect email address has been entered.
The reset password notification email will be sent to the email configured as the Business Email Address in the application, no matter what address is entered. The email will contain a link to a page where the user can reset their password.
This behavior will also occur when an administrator resets the user's password on the user record Preferences & Settings page.
Notification Template
As part of this enhancement, the PasswordReset notification template has been updated with the new process, providing a link where the user can update their password.
If a customer has modified this notification template, it will not be updated upon upgrade and they will have to manually update it to use the new process (the old process will no longer work). Customers can modify the new default template, but must have these two merge fields in it:
[[Link to Password Reset Page]]link[[Link suffix]]
-
Note: These two merge fields must be entered directly from the UI using the Insert Merge Field function (not copied and pasted) for it to work properly.
The full text of the updated default template is as follows:
Dear [[User Fullname]],
Please follow this [[Link to Password Reset Page]]link[[Link suffix]] to change your password.
If you did not request this or have any other trouble, contact your system administrator for
assistance.
Thank you.
