RMS - Modifying Email Templates

Summary:
The article explains how to update an existing email template for the RMS application. Email Templates are located in the RMS administration portal. Client administrators can make changes to email templates to correct misspellings, revise existing text, or include additional text in the template.
Warning: If the template is associated with an active email trigger, Recruiting Portal users will see your changes immediately.
Detailed Information:
To modify an email template:
- Go to Area > Templates.
2. Search for the email template to modify.
3. Place a checkmark next to the email template you want to modify.
4. Click Modify on the menu bar.
5. Make the necessary changes to the template information. See Email Templates Field Descriptions for detailed field information. If your installation of RMS supports more than one language, click the globe icon and enter the appropriate Name for each supported language.
6. If your company uses more than one presentation, select the presentation for which you want to modify the Email Subject and Email Body.
7. Make the necessary changes to the Email Subject. If you want to include specific information about the current requisition or candidate in the Email Subject, take the following steps:
-Place your cursor in the Email Subject where you want the tag to appear.
-Select the appropriate Data Area.
-Highlight the desired parameter, and click the Move Parameter icon.
-Repeat for each parameter you want to include in the Email Subject.
8. Make the necessary changes to the Email Body. If you want to include specific information about the current requisition or candidate in the Email Body, take the following steps:
- Click Use HTML Editor if you want to use HTML text formatting.
- Place your cursor in the Email Body where you want the tag to appear.
- Select the appropriate Data Area.
- Highlight the desired parameter, and click the Move Parameter icon.
- Repeat for each parameter you want to include in the Email Body.
9. If you are modifying a Recruiter Portal or Workflow Trigger type mail template, you can add data tags that have a many-to-one relationship with other data tags. For example, you might want to include data tags that describe a candidate's history of workflow folder moves. One candidate can have many folder move history records. Using the MultiArea function, for each candidate folder move, you can include the date of the move, the name of the folder to which the candidate was moved, and the user who moved the candidate in the email, in the email template.
- Place your cursor in the Email Subject or Email Body where you want the tags to appear.
- Click the MultiArea button.
- Select the appropriate Data Area.
- Highlight the desired parameter and click the Move Parameter icon.
- Repeat for each parameter you want to include.
- Enter any text you want to include between the data tags.
10. Click Save. The data tags and surrounding text are displayed in the Email Body or Email Subject.
- Click Save to save the template.
- Click Validate to view the email message as it will appear to the recipient.
- Click Check Count to check the number of characters in the template.
