Occasionally, when creating new users in the system, you may encounter an error caused by an external ID already associated with an existing user record in iPaaS. This typically results from a reused employee ID or an error in the User Data Loader. In most cases, resolving this issue requires manual intervention using the PeopleFluent Learning UI and the iPaaS Admin Dashboard.
Example Scenario: Resolving an External ID Conflict
An error occurred while attempting to create a new user, Jane Smith (Emp ID: 21467). Upon investigation, it was found that John Doe already had an iPaaS account using the same external ID (21467). However, John’s correct ID should be 55713, and no account currently exists with that ID.
To resolve this:
- Remove the incorrect ID (21467) from John’s record.
- Assign the correct ID (55713) to John.
- Proceed with creating Jane’s account using 21467.
Step-by-Step Instructions
Access the iPaaS Admin Dashboard:
Locate the Existing User:
- Navigate to the "Users" section.
- Search for John Doe (or the impacted user).
- Scroll to the "External ID" section.
Update the External ID:
Note: You cannot modify an existing external ID directly—you must add a new one.
- Add the correct ID (55713) and click Save.
- Once saved, the new ID becomes the primary external ID.
Remove the Incorrect ID:
- After saving, delete the old ID (21467).
- Click Save again to finalize the deletion.
- A confirmation message will appear—click Yes to proceed.
Final Outcome
John’s account is now correctly associated with 55713, and the previously conflicting ID (21467) is freed up. You can now successfully create Jane Smith’s account without encountering any errors.
