25.07-Using Inclusion and Exclusion Lists in Workflow

Summary:

In Performance Workflow Process Management, administrators can now directly manage which users are added to or removed from workflows using Inclusion and Exclusion lists. This enhancement, introduced in Release 25.07, allows for faster and more precise participant management without relying solely on eligibility locator evaluations.


Step-by-Step Instructions

Enable Inclusion and Exclusion Fields

To use this feature, an administrator must first enable the relevant fields on workflow process pages.

Steps:

  1. Go to Site Administration → Users and Security → Page Element Definitions.
  2. Enable the following Page Element IDs as needed:

Manage Inclusions in the Performance Plan

Use this to add users who are not included by eligibility locators but should participate in the plan.

Steps:

  1. Go to Performance Administration → Performance Management → Performance Management Plans.
  2. Click Edit on the appropriate plan.
  3. In the left navigation, select the Eligibility tab.
  4. Under Inclusions, click Add and select the users to include.
  5. Click Save.

Manage Exclusions in the Performance Plan

Use this to remove users who are included by eligibility locators but should not participate.

Steps:

  1. Go to Performance Administration → Performance Management → Performance Management Plans.
  2. Click Edit on the appropriate plan.
  3. In the left navigation, select the Eligibility tab.
  4. Under Exclusions, click Add and select the users to exclude.
  5. Click Save.

Manage and Initiate Inclusions in Workflow Process Management

Steps:

  1. Go to Performance Administration → Workflow Process Management.
  2. Click Manage on the appropriate workflow process.
  3. Select the relevant workflow process tab.
  4. In the Inclusions field, click the Display Count link.
  5. Click the ⚡ icon in the Manage column and choose:
    • Manage Inclusions – View, validate, or initiate users individually.
    • Validate Inclusions – Validate all included users.
    • Initiate Inclusions – Initiate all included users.

Manage and Initiate Exclusions in Workflow Process Management

Steps:

  1. Go to Performance Administration → Workflow Process Management.
  2. Click Manage on the appropriate workflow process.
  3. Select the relevant workflow process tab.
  4. In the Exclusions field, click the Display Count link.
  5. Click the ⚡ icon in the Manage column and choose:
    • Manage Exclusions – View and remove users individually or move them to a completed state.
    • Move to Completed State – Move all excluded users to a completed state.
    • Remove Exclusions – Remove all excluded users.

🔧 To access the Remove Exclusions option, enable Design Mode or update the default accessibility for the manageProcessDetail.processManagement.popupMenu.removeExclusions Page Element Definition ID.
