Issue Summary
New Hire Training Not Auto-Initiating
Some users were not auto-enrolled in the New Hire Training module after their hire dates. Investigation revealed that:
- The auto-enrollment job was running without errors.
- Affected users had a User Attribute 2 value of RA, which is not included in the auto-enrollment criteria.
- The criteria for New Hire Training auto-enrollment include only specific User Attribute 2 values: EX, FA, FPC, FR, NE, PD, SP.
Timesheet Training Not Auto-Initiating
Some users were also expected to be enrolled in Timesheet Training but were not. Upon review:
- The users met the enrollment criteria and were correctly configured.
- The Timesheet_-_Non-Exempt_ORG course was not set to allow offline auto-enrollment.
- As a result, users are only enrolled upon their first login to the system.
Resolution Steps
For New Hire Training
- Review and update the auto-enrollment criteria to include any additional User Attribute 2 values if needed.
- Use auto-enrollment tracing logs to identify mismatches and confirm why specific users were excluded.
For Timesheet Training
- Confirm whether the course is configured for offline auto-enrollment.
- If not, inform users that enrollment will occur after their first login.
- Monitor login activity to ensure training is initiated as expected.
Best Practices
- Regularly audit auto-enrollment logs to identify missed enrollments.
- Enable auto-enrollment tracing for detailed diagnostics.
- Coordinate with HR or IT to ensure user attributes align with training criteria.
- Document any exceptions or manual enrollment processes for temporary or unique roles.
