Question:
I have a CSV file that contains the employees of my organization. I also have another CSV from our Contractor Management System (CMS). Can I combine them into a single data source in OrgPublisher?
Answer:
Yes. OrgPublisher allows you to combine multiple sources (CSV files and/or ODBC databases) into one data source.
Note: In addition to adding entire records from another source, you can also append extra fields to existing records in your current CSV/ODBC data source.
Steps
A) Create your main data source (if you haven't already)
- Go to Home-->Data Sources. The Data Source page appears.
- Click Add. The Select the Data Source Type page appears.
- Click CSV. The CSV File page appears.
- Enter a name (required).
- Select a CSV file from the drop-down, or upload a new file:
- Click Upload.
- Select the file you want to upload.
- Click Open.
- Click Validate. The Validation Results dialog box appears.
- Review the results, then click OK.
Tip: You may need to map your data fields. Open Help in OrgPublisher Administration and search for Map data source fields.
B) Add another data source
- Go to Home-->Data Sources.
- In the Name column, filter to find the data source you want to extend.
- Click the Add Secondary Data Source icon next to it. The Link Secondary Data Source page appears.
- Choose the type of data you are adding:
- Additional boxes/positions (records): Optionally assign a position type to all new positions.
- Additional fields for existing records: Select a field to link*
- Succession planning information: Select a field to link*
*this is usually the BoxID but it can be any field that contains a unique value tied to the person.
- Click Next. The Select the Data Source Type page appears.
Example Use Case
You have three contractors on the HR team who are not included in the main CSV extracted from your HRIS, but they need access to the secured chart.
To give them access:
- Create a contractor CSV file with records for the three contractors.
- Ensure each contractor’s Parent BoxID exists in the main data source (so they report to someone).
- Add the contractor CSV as a secondary data source.
Once added, the contractors will appear in the hierarchy and gain access to the secured chart.
