The PeopleFluent Talent Management 26.04 update introduces functionality changes and feature updates designed to enhance the platform's core capabilities.

Ability to Bulk Generate Statements in Matrix Manager View

Functionality

Previously, the Matrix Manager view of a worksheet only allowed for statements to be generated individually per employee.  In release 26.04, we have added the ability to bulk generate employee statements from this view.  A new Statements button can be enabled in Matrix Manager UI configuration in reward cycle configuration.  When a user selects the button in Matrix Manager view, it will bulk generate statements for all employees in the view.

Details

Enable the Statements Button

  1. Access the appropriate reward cycle configuration and click Matrix Manager UI Configuration in the left menu.
  2. The Statements button is located near the top of the screen. Click the set visibility lightning.png icon and select Set Visibility.
  3. In the Default Visibility field select Visible.
  4. Click Save.

Generating Bulk Statements in the Worksheet

  1. Go to the appropriate worksheet.  Filter the worksheet view as necessary. The bulk action will generate statements for all employees in the filtered view.
  2. Click the Statements button.

Editability Rules for Statements and Email Statement Icons in Worksheets

Functionality

In some cases, organizations may want to hide compensation statements, or the ability to email them, for specific employees in reward cycle worksheets.  If an employee falls below a specific rating threshold, for example.  In release 26.04, we have added the ability set editability rules around viewing and emailing statements in a worksheet. If an employee in the worksheet does not meet the rule criteria, the field will be locked. The icons are read only and no action can be taken.

This enhancement applies to Focal reward cycles only and is not available for Off-Cycle awards. 

Details

Set the Editability Rules in Reward Cycle Configuration

  1. Access the appropriate reward cycle configuration and click Column Manager in the left-hand menu.
  2. Locate one or both of the following fields:
  • individualStatements - Controls the visibility of the Statements column/icon.
  • individualStatementsEmail - Controls the visibility of the Email Statements column/icon.
  1. Scroll right to the Editability column. This is the last column in the list. Click the + in the column.
  2. Configure the editability rule.  The formula contains the rule criteria. If the formula is True, the field will be locked on the worksheet.  The text you enter in the Rule Text field will display as a tool tip in the worksheet if the field is locked.
  3. Click Save.

Update Reward Cycle Hierarchy Only

Functionality

Previously, if an employee was moved to a new hierarchy (they moved teams, for example), it was required that the full reward cycle be republished in order to move that employee to a reward cycle worksheet.  In release 26.04, we are introducing a new process that allows administrators to update the hierarchy changes only, eliminating the need to republish the entire reward cycle.

Details

You will run the process in the Publish Options tab of the reward cycle.

  1. Open the appropriate reward cycle configuration and click Publish Options in the left menu.
  2. Click Worksheet Processing Console.
  3. A new option, Process Worksheet Hierarchy is at the top of the list. Click the checkbox.
  4. Click Process.  The process will run and the worksheet will be updated.

When the process hierarchy update is run, the worksheet statistics are updated, and the standard worksheet fields that are set to publish on refresh also run automatically.

Worksheet Statement Icon Updates to Indicate Statement has Been Emailed

Functionality

Previously, if a statement was emailed from a compensation worksheet, there was no indication that this action was taken.  As of release 24.06, the email icon will change when a statement is emailed. A checkmark displays with the icon, as shown below:

The email icon changes as soon as one statement is emailed, even if there are additional statements that have not yet been sent.

Performance Enhancements

Options for Managing Display of the Feedback Rating Field on Performance Management Forms

Functionality

In performance management, organizations can gather feedback for an employee, which includes feedback ratings for goals, competencies and overall ratings.  These feedback ratings are then displayed on performance plan evaluation forms (the manager evaluation form, for example). In many cases, this can be a large amount of information that takes up space on the screen. In release 26.04, we have made the following updates to manage display of the field:

  • The ability to hide visibility of the field in the Goals and Overall sections of the forms.
  • In the Overall section, the ability to expand or collapse the field by default if it is visible.

Details

Set Field Visibility for Goals or Competencies Section

These steps assume that Feedback Ratings have been enabled for the Goals or Competencies section of the form.

  1. Open the performance management plan and select the appropriate evaluation form in the Final Evaluation Form Configuration options.
  2. In the Goals or Competencies section, locate the Feedback Responses field.
  3. Click the set visibility lightning.png icon and select Edit Field Properties.
  4. Feedback responses are hidden by default.  To make the ratings visibility, click the new Show Rating Feedback checkbox to show ratings.

  1. Click Save.

Expand or Collapse the Field by Default in the Overall Section

  1. Open the performance management plan and select the appropriate evaluation form in the Final Evaluation Form Configuration options.
  2. In the Overall section, locate the Feedback Responses field.
  3. Click the set visibility lightning.png icon and select Edit Field Properties.
  4. Feedback responses are expanded by default. In the Default State field, select the Collapsed radio button.
  5. Click Save.

Ability to Hide Goal and Competencies Ratings on Feedback Forms

Functionality

In release 26.04, we have added the ability to hide the Goal Ratings and Competencies Ratings fields on the Give Feedback and Response Feedback forms. You have the option to hide an entire Goals or Competencies section. You can also choose to hide the Select a Rating and/or Comments field for specific goals or competencies.

Details

  1. Go to Administration Home > Site Configuration > Design Pages > Respond to Feedback Request.
  2. In the Goals or Competencies section, take one of the following actions:
  • To hide the entire section, click the set visibility lightning.png icon below the section name.  In the Default Visibility field, select Not Visible. Then click Save.

Ability to Search Fields when Configuring Evaluation Forms in Performance Management

Functionality

Administrators have the ability to configure the available fields in performance management plan evaluation forms.  Each "zone" in a form has specific fields that are available for display.  Previously, a user had to scroll through a list of the available fields or selected fields, which is not ideal when there are a large number of options.  In release 26.04, we have added a search field, enabling the user to more easily locate the appropriate field.

Ability to Capture Audit History for Bulk Submissions Performed by Admin Role

Functionality

By default, if a bulk submission is performed using the admin role, the audit history is not captured. This prevents the calibration session from loading and the talent profile from showing who made the changes.  In release 26.04, we have added a new performance setting. When this setting is configured, it allows the audit history to be captured for any process listed in it, even if an admin role performed the process.

Details

Configure the Setting

  1. Go to Administration Home > Performance Administration > Data Setup > Performance Settings.
  2. Use the filters to locate the new setting Enabled Background Audit Processes. Click the edit edit.png icon. 
  3. In the Value field, enter the value RunFormulaForParticipantsProcess,BulkCompleteActionProcess
  4. Click Save.

Workflow Step Change Message for Concurrent User

Functionality

There are instances when more than one person may be working in a performance plan. In the event that one of the users performs an action that moves the plan to a different workflow state, updates not yet saved by the second user are lost. In release 26.04, we have added a setting in the performance plan that, when enabled, presents a warning message that the workflow state has been changed. The screen refreshes and presents the user with a new workflow form. The user cannot continue with the same form.

Details

This setting is disabled by default. Follow the steps below to enable it for a performance plan.

  1. In the appropriate performance plan, click the Basics option in the left menu.
  2. Locate the Show Warning for Concurrent User Form State Change field and click Yes to enable the function.
  3. Click Save.

Common Suite Enhancements

Bookmarks Navigation Menu

Functionality

In 26.04, we are introducing a new bookmark navigation menu for administrator main menu items in the Talent Management suite.  This functionality allows administrators to bookmark menu items that they use frequently and access them directly from a left-side navigation menu. 

Once you have configured at least one bookmark, the bookmark navigation menu displays on the left and persists on each administrator page.

Details

To set the bookmarks, you must be in Design Mode.  To enable this mode, open the main menu and select Turn Design Mode On.

Follow the steps below to bookmark pages/features:

  1. In Design Mode, navigate to the main menu item you would like to bookmark.  Note that you can only bookmark the end-point of a menu. Meaning, if a main menu item has sub-items, only the endpoint of the sub-items can be bookmarked. For example, the Reporting main menu item contains several sub-items, including Create New Report.  In this example, Create New Report can be bookmarked, while Reporting cannot.

  1. Click the set visibility icon lightning.png and select Bookmark Menu.  This option is not available if the menu item can't be bookmarked.
  2. Click the Show in Navigation Menu checkbox to include the item in the menu.
  3. Click in the Bookmark Icon field, to choose an icon for the item in the navigation menu. Several standard icons are available. Browse the options or use the search to locate an icon.
  4. In the Sort Order field, enter a number to indicate where the bookmarked page should display in the navigation menu. Bookmarks will display from lowest to highest.

You will need to log out and log back in to view new or updated bookmarks in the navigation menu. Keep in mind that you will not see the navigation menu at all until after you have added at least one bookmark and logged out and then back in.

Insights

Functionality

In release 26.04, we are introducing a new Insights component to proactively provide users with key information about activities and status related to performance and compensation features.  For example, you can configure Insights to notify employees when they have not started a required learning course or have an overdue goal. Managers can be notified if they have not had a 1:1 meeting with a specific employee in a specified number of weeks.  A full list of available Insight features is available in the Details section below.

An administrator can enable the Insights pre-generation job and set the frequency.  This determines how often the application will scan for the configured Insight features.

A new Insights widget is available on the dashboard. This is where employees will see the Insight messages. The dashboard allows the user to link to the feature (the missed goal, for example).

Details

Enable Insight Pre-Generation Background and Set the Generation Frequency

  1. Go to Administration Home > Data Setup > System Settings.
  2. Use the filters to locate and configure the following fields:
  • Insight Pre Generation Enabled - This field manages insight pre-generation job and must be set to true for the job to run (the field defaults to false). Click the edit icon and select the True radio button for the Value field. Click Save.
  • Insight Generation Frequency Config - This field manages the frequency that the background job runs.  The frequency defaults every 7 days. Click the edit icon and change the number in the Value field to update the frequency. Click Save.

Enable and Manage Settings per Insight Feature

  1. Go to Administration Home > Data Setup > Insight Settings.
  2. Locate the appropriate feature in the list and click the edit icon. Depending on your active applications, the following features are available:
Feature Insight Feature Description
Goals Goal Not Started Notifies employees that they have not started a goal process for a specific goal.
Goal Overdue Notifies employees that they are past the due date for a specific goal.
Goals Not Started by Direct Report Notifies managers if direct reports have not started the goal process.
Feedback Feedback Not Provided Notifies employees that they have not provided feedback for another employee.
Not Responded to Feedback Request Notifies employees that they have not provided feedback to someone who has requested feedback.
Feedback Received Notifies employees that they have received new feedback.
Learning Course is Overdue Notifies employees that a required learning course is overdue. 
Course is Not Started Notifies employees that they have not started a required learning course. 
Access to Course is Expiring Notifies employees that their access to a course is about to expire.
1:1 Meetings No 1:1 Meeting for Weeks Notifies employees that they have not had a 1:1 meeting in x number of weeks.
No 1:1 Meeting with Team Yet Notifies employees that they have not had a 1:1 meeting with anyone on their team yet.
Compensation Compensation Changed Notifies employees that they have a change in their compensation
Compensation No Increase Notifies employees that they do not have a compensation increase for a specified period.
Compensation Over Budget Notifies employees that they are over budget for a specified reward cycle.
Compensation Not Submitted Notifies employees that they have not submitted a worksheet for review.
Compensation Hierarchy Over Budget Notifies employees that they are over budget for a specific hierarchy in a reward cycle.

Additional details about each feature, including a description, relevant application(s) and insight text suggestions are available when you open the feature for editing.

  1. To enable the feature, click the Enabled checkbox.
  2. If needed, make updates to the default information in the remaining fields:
  • Name - Insight name.
  • Description - Insight description.
  • Insight Text - Text that displays to the user in the Insight widget.
  • Insight Interval - This field is used to determine the intervals for specific Insights, as described below:
  • No 1:1 Meetings for weeks - The number of weeks without a 1:1 meeting that will trigger the Insight.
  • Course Access Expiring - The number of days prior to the course expiring that will trigger the Insight.
  • Feedback Not Provided - The number of days in which feedback has not been received that will trigger the insight.
  • Feedback Received - Triggers the Insight only for feedback received within a specified number of days.
  • Compensation Changed - Triggers the Insight when an employee receives a salary change within the specified number of days.
  • Compensation No Increase - Triggers the Insight when the employee has not received an increase within a specified number of days.
  1. Click Save.

Ability to Add Goals in Bulk

Functionality

In release 26.04, a new data processing script is available that allows you to upload goals in bulk. Goal properties can be passed through a CSV file upload or using runtime properties.

The script can only add new goals. It does not support updating goal information.

Details

New Data Processing Script

The new script is named AddGoaltoRepository.  Performance plan scripts are located by navigating to Administration Home > Performance Administration > Data Setup > Data Processing Scripts.

Fields Available for Import

The import supports fields in the Basics and Measurements tab of the goals. The following fields can be imported using the script.

Basics Tab:

  • Goal Title (required)
  • Display Name (required)
  • Description
  • Year
  • Default Decimals
  • Type (must match an existing goal type)
  • Category (must match an existing goal category)
  • Reference Key

Measurements Tab:

  • Unit of Measure (must match an existing value)
  • Unit Label
  • Measure
  • Dimension (required and must match the drop-down values)

Running the Script

  1. Go to Administration Home > Performance Administration > Data Setup > Data File Processing.
  2. Click Add.
  3. Configure the process, making sure to select Add Goal to Repository in the Processing Script field.
