RMS: How to Create A Personal Folder

Summary:

This knowledge base article demonstrates how to create a personal folder. 

 Personal Folders are created and defined by users for the purpose of holding potential candidates when it may not be appropriate to move them into a specific requisition folder. For example, you may use personal folders to keep candidates whose qualifications meet the prerequisites for a requisition that has already been filled, or a requisition that is not yet available or approved for active recruiting.  

Example: You might name a personal folder Engineering CandidateQA Candidates, or Internet Architect.

  • There is no limit to the number of personal folders you can create.
  • PeopleFluent Recruiting users can create or delete personal folders.

Best Practice: To avoid having many personal folders displayed in each user’s Workflow frame, it is strongly recommended that you create your personal folders as private folders.

You can add any number of candidates to personal folders. However, you should always copy candidates to a personal folder. 

Warning: Do not move candidates to a personal folder. 

When you copy a candidate to a personal folder, an additional candidate profile is created, thus preserving the applicant flow data and reporting information for the other requisition(s) to which the candidate is associated.

Details:

Personal Folders are folders that serve as "holding areas" into which you can place candidates whom you do not want to place into a specific requisition or workflow folder. Once you have created a personal folder, you can store any available candidates in the folder for upcoming open requisitions or for pending requisitions.

Note: Personal folders are not displayed in the Workflows view of the Workflow pane. If you are using the Workflows view, click the Requisitions tab at the top of the Workflow pane to view personal folders.

To create a new personal folder:

  1. Right-click on Personal Folders in the workflow tree.
  1. Select the Add Personal Folder option from the pop-up menu.

     
  2. Enter the new Folder Name.
  3. Select Private if you want the folder to only be visible in your Workflow view.
  4. Select Public if you want to share the personal folder with all PeopleFluent Recruiting Portal users in your organization. Leave this checkbox empty if you want to keep the folder private.

  5. Click Save. The new folder will be listed under the Personal Folders heading on the Requisitions workflow tab.
