Regarding the Communicate Changes Action buttons and the “special monitored fields” used with Goals’ status in the TRACK GOAL PROGRESS WF state, here is the background information:
Actions are built into this state for the employee and manager to communicate about how things are progressing and to keep each other informed of new goals or changes.
When an employee is in the Track Goal state the employee's Employee Tracking Form and the manager's Manager Tracking form are editable, and have a Progress drop-down selector with values of Not Started, On Target, At Risk, and Completed. Both the employee and manager can modify the employee's goals (presuming their forms have not been reconfigured to be fully or partially read only), and they can change this progress value, which defaults to Not Started.
When either the employee or the manager changes certain monitored fields on the form (see field list below), the goals status changes to Modified, and an icon appears next to the changed field. Users can click this icon to see the last approved value of the changed field. Another result of changing monitored fields on the forms is that a Communicate Changes button appears. The employee or manager can use this button to send a notification to the other indicating the change.
The manager can use the Accept Changes button to notify the employee that they have reviewed and accepted the employee’s changes. When this happens, the icon next to changed fields is removed and the goal status returns to Active. The employee can use the Acknowledge Changes button to notify the manager that they have reviewed and understand the manager's changes to their goals.
When you, the administrator, configure the actions of the Goal Tracking state, note that there are two actions named Communicate Changes. One is for the employee, the other for the manager. Take care when you configure them to look at the owner.
