How to Enable Shared/Public Folder Creation in Repository Manager

Applicable Product:

PeopleFluent Learning

Applicable Release:

V25

Overview

System Administrators may notice that they only have the option to create folders under Personal Folders, but not under Shared/Public Folders within the Repository Manager.

This guide explains why this permission limitation occurs and the steps required to resolve it.

Cause

The ability to create and manage shared or public folders is governed by a combination of System Role Permissions and Folder-Level Access Controls.

Even accounts assigned the standard System Administrator role must have the explicit Unrestricted access setting assigned to the Repository Manager feature within their active role configuration.

Resolution

To grant administrators the ability to create Shared/Public Folders, complete the following steps:

  1. Access System Role Configuration:

    • Log into the system using an account with permission to manage roles.

    • Navigate to the Administration menu and select System Roles (or Role Access Control).

  2. Update Feature Access:

    • Locate the system role assigned to your administrator account.

    • Search for the Repository Manager feature under the permissions list.

    • Change the access level for Repository Manager to Unrestricted.

    • Save your changes.

  3. Verify Folder-Level Access:

    • Navigate back to the Repository Manager.

    • Ensure that the target shared folder or root directory has appropriate Write or Create permissions assigned to your user account or role.

    • Log out and log back in (or refresh your session) to verify that the option to create folders under Shared/Public Folders is now available.

Verification

To confirm that the fix was successful:

  1. Open the Repository Manager.

  2. Select the Shared/Public Folders directory.

  3. Confirm that the Create Folder button or action menu is visible and active.
