When course equivalencies or substitute modules are used to satisfy requirements for a target module or competency, administrators may observe that a target module shows as expired or incomplete despite a learner's past completion of a substitute module.
This article explains how validity periods (e.g., 3-year renewal windows) and module expiration rules impact course equivalency evaluation.
Technical System Behavior
Independent Validity Timelines: In a course equivalency setup, each component (the target module and any assigned substitute modules) maintains its own completion timestamp and validity duration (such as a 3-year validity window).
Expiration of Target Module Status: The target module's valid status expires as soon as the validity window (e.g., 3 years) from the latest qualifying completion date lapses.
Re-qualification via Substitutes:
Single Substitute Configuration: If substitute modules are configured individually (OR logic), completing any one valid substitute module will fulfill and re-validate the target module requirement.
Composite Substitute Configuration: If the equivalency rule requires multiple substitute modules concurrently (AND logic), all required substitute completions must fall within their active validity window simultaneously for the target module to remain valid.
Troubleshooting & Resolution Steps
If a learner's target module status displays as expired or incomplete despite completing a substitute module, verify the following:
Review Transcript Completion Dates: Check the completion dates for the target module and all linked substitute modules under the learner's transcript.
Verify Equivalency Logic: Confirm in the Equivalency Editor whether the rule requires a single substitute module or a combination of multiple substitute modules.
Verify Competency/Module Validity Windows: Check the validity timeframe configured for the competency or module (e.g., 36 months / 3 years).
Required Action: To restore valid completion status for the target module, the learner must re-complete an eligible substitute module (or the direct target module) whose completion falls within the active validity window.
