Configuring performance evaluation workflow with simultaneous participant/manager data input where neither party can view the others' data until such time as it has been submitted to the desired state.
Detailed Information:
The purpose of this solution is to describe one possible approach to implementing an evaluation workflow where the participants and managers have the ability to simultaneously update evaluation data without compromising the security of information until such time as it has been submitted to the desired state. This "Double-Blind" approach can be implemented by customizing existing workflow states, form permissions, and form field visibility settings.
NOTE 1: This solution assumes that we are starting with a current plan that has the desired evaluation workflow definitions already associated to the plan. This solution ONLY documents the steps required to support the specific needs for implementing the summary description.
NOTE 2: This solution assumes that the evaluation process begins with the following initial workflow states: Self Evaluation (Participant owned) ->Manager Evaluation (Manager owned).
Step-by-Step Procedures:
Optional Requisite work:
1. Copy an existing plan that can be used as a template for the configuration of the new 'double-blind' configuration. Source plan should have the configuration options and workflow process that will require the fewest modifications.
2. Navigate to the desired plan to be modified and EDIT.
3. If LOCKED, you must UNLOCK the plan. In order to do this, you need to be logged in as the user that ‘Last locked’ the plan.
4. Modify values on the ‘Basics’ page as appropriate: Plan Name, Display Name, Plan Year, Review Period Start Date, Review Period End Date, Effective Date, etc.
Required Steps:
Make the following changes to the Self Evaluation workflow state form permissions:
1. Click on the ‘wrench’ icon in the ‘Self Evaluation’ state.
2. Select ‘Edit Forms Associations’.
3. Set Participant and Manager form associations and permissions:
a. Participant = Self Evaluation Form, ‘As Configured’.
b. Manager = Manager Evaluation Form, ‘As Configured’.
4. Set 2nd Level Manager, HR Manager, and Other roles forms and permissions as desired.
5. Close.
Make the following changes to the Manager Evaluation workflow state form permissions:
1. Click on the ‘wrench’ icon in the ‘Manager Evaluation’ state.
2. Select ‘Edit Forms Associations’.
3. Set Participant and Manager form associations and permissions:
a. Manager = Evaluation Review Form, ‘As Configured’.
b. Participant = Self Evaluation Form, ‘Read Only’.
4. Set 2nd Level Manager, HR Manager, and Other roles forms and permissions as desired.
5.Close.
Modify the ‘Manager Evaluation Form’ to remove any 'Employee' specific information:
1. Open the 'Manager Evaluation Form.
2. Review all form sections (Goals, Competencies, Overall, etc) for employee related data fields.
3. Using the 'Configure fields for this section' tab, deselect all fields that you wish to remove. Repeat for all needed sections. The following images provide examples of fields that you should consider removing.
4. Optionally, you may want to realign the remaining Manager fields in the form sections.
5. When all sections changes are done; SAVE the form.
6. Review the ‘Evaluation Review Form’ to ensure that all of the desired employee and manager fields are present and that the field settings are as desired. (EX: Read Only, Read/Write, and Required.
7. Lastly, if desired, a notification can be created/added to the ‘Initiate’ workflow process to notify the ‘Manager’ that the process is now open.
NOTE: The manager will not get a task in the ‘Self Evaluation state. They can open the employee evaluation form from their ‘Status of Active Processes’ dashboard widget.
